BOOKING TERMS AND CONDITIONS

TERMS
A confirmation fee of 25% of total trip fee is required upon booking in order to reserve a space. Full payment is required no later than 30 days before departure. If booked at a later date, full fee must be paid in order to validate a booking.
CANCELLATION BY THE PARTICIPANT
All cancellations must be made in writing (email to sales@bikecompany.is) to Bike Company. In conformity with business practices within the Icelandic travel industry, the travel agent is obliged to charge cancellation fees to passenger(s) as follows:
DAY TOURS
If you cancel your day trip, Bike Company reserves the right to keep the confirmation fee as follows:
• 25% of tour price, if cancelled formally 8-21 days prior to departure
• 50% of tour price, if cancelled formally 2-7 days prior to departure
• 100% of tour price, if cancelled formally within 2 days prior to departure.
Full payment for day tours is due before departure.
OVERNIGHT TOURS
If you cancel an overnight tour, Bike Company reserves the right to keep the below confirmation fee:
• 50% of tour price, if cancelled formally 8-21 days prior to departure
• 75% of tour price, if cancelled formally 2-7 days prior to departure
• 100% of tour price, if cancelled formally within 2 days prior to departure
Full payment for Leisure Tours and Mountain Bike Tours is due 30 days prior to departure date.
Please note that any payments made to an airline on your behalf may not be recoverable and will be subject to the airline’s cancellation policy. No refunds will be made for a cancellation during the course of the tour, nor for any unused leg of the trip.
Bike Company is not obliged to make any kind of reimbursement for trips that are interrupted or shortened by participants for any reason whatsoever. We STRONGLY recommend that you obtain cancellation insurance if you do not have travel cancellation coverage already (e.g. via premium credit cards).
INSURANCE
We require that all participants have a valid travel insurance that covers all medical and/or rescue expenses for adventure trips. If, for any reason, an incident is not covered by travel insurance, the responsibility remains with the participant to cover such expenses. Note that standard travel insurance policies may not cover you regarding certain activities, possibly including mountain biking and trekking in remote areas. Prior to arrival, participants must provide Bike Company with the following information on the provided
CLIENT DETAILS AND INSURANCE FORM:
• Insurance contract number, name and address of the insurance company and its emergency telephone number.
• Name, address and telephone number of a family member that should be contacted in case of emergency.
• Previous or current medical condition and current medication.
A copy of this form for each participant, is kept by the guide during the trip as well as at Bike Company’s offices.
THE PRICE OF THE TRIP
Please check your specific itinerary in relation to additional services included in the price of your trip. Information regarding food and additional services is stated in the itinerary in the section The Price of the Trip Includes. Supplement in relation to single rooms may be added to the price.
All fees quoted in our tariff are based on current exchange rates, taxes and prices in Iceland. Although it strives to adhere to all quoted prices, Bike Company reserves the right to change already quoted prices without notice in case of any and all instances of increased cost that are beyond its control, e.g. currency fluctuations and governmental taxes. No surcharges will be added once invoices have been issued, unless we are forced to do so by changes in taxes, laws or currency rates. Clients will be entitled to cancel their bookings and receive a full refund if surcharges exceed 10% of the total trip fee. No changes in fees will be made less than eight weeks prior to departure.
MINIMUM NUMBER OF GUESTS ON A TRIP
Bike Company requires a minimum number of guests per trip in order to carry it out. In case of a lack of sold trips and participants we reserve the right to cancel a trip as late as 14 days prior to departure for the overnight tours and 24h before the day tours, free of responsibility. Nonetheless, around 90% of our trips are sold out in due time prior to the departure date.
HEALTH AND FITNESS REQUIREMENTS
Outdoor activities such as mountain biking and trekking carry an inherent risk of injury and possible death, which cannot be eliminated. One must accept that although we do our utmost to reduce risk to an acceptable level, accidents can always occur. When booking with Bike Company you agree to abide by instructions and decisions made by our guides regarding the safety of individuals and/or the group. All participants agree to receive medical treatment administered by the guide or other team members in case of accidents or illnesses whilst evacuation plans are put into effect. Neither Bike Company nor its staff can be held responsible for any incidents or accidents occurring during its trips.
Mountain biking and trekking require at least an average level of fitness and good health. It is the participant’s responsibility to ensure that they obtain proper training and medical advice with regard to the planned activity.
PLANNED ITINERARY
Bike Company makes every effort to adhere to the planned itinerary but participants must appreciate and acknowledge that all tours require considerable flexibility in the actual operation. Bike Company and its guides reserve the right to adjust the itinerary without notice due to weather, mountain conditions or other unforeseeable circumstances. All participants must accept this.
Bike Company accepts no liability for delays or other consequences of force majeure incidents such as strikes, riots, acts of war or terrorism, disease outbreaks, government intervention, natural disasters or adverse weather conditions. If such occurrences force us to cancel a trip we will offer an alternative one if possible, but assume no responsibility for return of fees paid prior to cancellation or curtailment.
PERSONAL BELONGINGS
During trips, personal belongings are entirely at the participant’s risk and Bike Company shall hold no liability for possible loss or damage.
